Add Prospects to a Pipeline from the Prospecting Tool

Route a prospect into an Adaptive AI pipeline with a deliberate handoff, automation checks, and vendor-documented steps to verify in your workspace.

Adaptive AI Knowledge Base

Contacts, CRM & Pipelines

Use this checklist when you want a newly discovered business to enter a defined sales process in Adaptive AI. Choose a destination deliberately: a saved prospect is not automatically a qualified lead, a customer, or permission to send marketing messages. This guide combines vendor-documented controls with suggested implementation checks; it has not been tested in your workspace.

Choose the handoff before importing

Agree with your sales owner which pipeline should receive new prospects. Use a stage that describes the actual relationship, such as an unreviewed prospect queue, rather than implying that an appointment or sale has already happened. The stage names are examples, not preinstalled Adaptive AI defaults. Decide who will review each record and what information that person needs before any outreach begins.

Route one prospect first

  1. 1In the relevant customer workspace, open the prospecting tool and find the business you intend to add. Confirm that you are working in the correct customer account.
  2. 2During the add flow, enable the pipeline option and choose an existing pipeline and stage. Review both selections before generating the report.
  3. 3Generate the report, then inspect the destination pipeline to confirm the resulting record. If it is absent, investigate before repeating the operation or starting a bulk import.

Check the result before scaling

Compare the saved business name and contact details with the prospect you selected. Look for an existing record before adding more entries. Keep a brief internal note of the destination you chose and the result you observed; this makes it easier to investigate misplaced records without sharing customer information publicly. Start with one non-sensitive record and have the person responsible for the pipeline confirm that the handoff is usable.

Review automation connected to opportunity creation or stage changes before importing. Depending on configuration, those events can start workflows. Do not assume that placing a record in a pipeline grants permission to call, text, or email it. Keep outreach eligibility separate from pipeline position and ask your account administrator to confirm the intended workflow behavior.

When the controls differ

If a pipeline or stage is unavailable, ask your administrator to check account access and setup. Do not change another customer workspace to work around a missing option. Send Adaptation Living support the page name, the expected destination, and a redacted screenshot of the issue. Avoid including contact lists, login credentials, or sensitive customer details. Your plan and configuration may differ from the vendor documentation.
