What are opportunity notes?

We’ve launched Opportunity Notes that lets you link notes to both Opportunities and Contacts independently. This gives you more flexibility in how you manage and view your notes in both opportunities and contacts.

Each opportunity can have their own dedicated notes, separate from contact notes, while still maintaining the flexibility to associate notes with multiple entities when needed.

Key Benefits of Opportunity Notes

The Opportunity Notes feature enables you to:

  • Entity-Specific Notes: Create dedicated notes for opportunities without mixing them with contact notes either from the contacts tab or from the opportunities tab directly. (see example)
  • Flexible Associations: Choose to either associate notes with Contacts, Opportunities, or both.
  • Cleaner Organization: Maintain distinct notes for Contacts and Opportunities, reducing clutter and improving clarity.
  • Smart Filtering: Quickly filter and find notes based on their entity associations.
  • Powerful Search: Instantly find notes using improved search functionality.

How do opportunity notes work?

Example scenario: John Doe (a contact) has two opportunities for 2 different real estate properties- Property A and Property B. Sara (the Sales Agent & Adaptive AI Admin) managing the properties for John Doe wants to create specific notes for each opportunity to keep relevant information tied to each property’s opportunity only.

Here’s how Sara will create opportunity & contact-specific notes.

Step #1: Under Property A’s Opportunity, Sara navigates to the Notes section, clicks Add Note, and enters the note’s contents.

Step #2: She selects the associations for the note; in this case, she chooses both the Opportunity (Property A) and the Contact (John Doe).

Step #3: She adds another note but selects only the opportunity under associations (omitting the contact John Doe), then clicks Save to create an opportunity-only note.

After Step #3: Sara now has two notes:

  • One linked only to Property A (opportunity-specific note).
  • One linked to both John Doe and Property A (shared note between opportunity and contact.)

Viewing Property B: When Sara switches to Property B’s Opportunity, she sees only the shared note (the one linked to John Doe), because the Property A–specific note isn’t associated with Property B.

Adding a Note for Property B: She clicks Create New Note, enters the note, selects both contact

associations and then hits save.

Filtering in Contacts: In the Contacts tab, selecting John Doe and going to Notes, Sara can filter notes by Opportunities or Contacts to view exactly what she needs.

How to use opportunity notes?

  1. 1Create Notes and Select Associations

a) Adding Notes Via Opportunities

Navigate to the Opportunities section, select the specific opportunity and click on add note.

Enter your note description clearly in the provided text box:

Under Associated Objects, click on Associate To and c hoose whether the note should be associated with:

  • Opportunities
  • Both Opportunities and Contacts
  • Contact

Use the search and add functionality to precisely link entities and then click on save.

b) Adding Notes Via Contacts

Navigate to Contacts, select a contact, then click Notes Button.

Click on Add Note button

Select the Relevant associations you’d like to add with the specific opportunity.

Easily search for the opportunities and select the relevant one.

  • In the Notes tab in Opportunity and also in contacts, use filters to quickly find notes linked to specific opportunities or contacts.
  • Click the Filter icon to specify and refine associations.

  • View and manage notes conveniently in the Notes tab under Contacts or Opportunities.
  • Click on a note's association indicator to view or adjust its linked entities.

  • Regularly review your note associations for accuracy.
  • Clearly label notes to streamline filtering and search.
  • If notes don't appear correctly, confirm your association settings.
